Privacy policy
This notice explains how Rathinam Global deemed to be University handles personal data in its faculty and staff recruitment portal, and how candidates can exercise their rights.
1. Who is responsible
Rathinam Global deemed to be University is the Data Fiduciary for information processed through this portal. This policy applies to candidates, prospective candidates, and authorised recruitment staff.
2. Information we collect
- Identity and contact details, including name, email address, telephone number, date of birth, gender, and postal address.
- Recruitment information, including education, qualifications, employment and teaching experience, skills, preferences, application answers, uploaded documents, interview information, and references you provide.
- Portal communications, notifications, application history, status changes, and support requests.
- Security and technical records such as sign-in time, IP address, device or browser information, audit events, and essential session identifiers.
We do not ask for payment-card information through this recruitment portal. Please do not submit Aadhaar, PAN, health, financial, or other sensitive documents unless a clearly labelled recruitment step specifically requires them.
3. Why we use it
- To create and secure your account, verify your email address, and prevent fraud or abuse.
- To receive, assess, manage, and communicate about applications and interviews.
- To match your profile with roles, maintain recruitment records, respond to rights requests, and meet legal obligations.
- To operate, troubleshoot, audit, and improve the reliability and accessibility of the portal.
We process data with your consent and for permitted legitimate uses under applicable Indian law. We do not sell candidate data or use it for unrelated advertising.
4. Consent and choice
Before registration, we ask you to affirmatively accept this notice and the Terms of Service. You may withdraw consent by contacting us. Withdrawal does not affect processing already lawfully completed and may prevent us from continuing your application where the information is necessary for recruitment.
5. Who receives information
Access is limited to authorised HR personnel, administrators, interview or selection participants who need it, and service providers that support hosting, databases, email delivery, storage, security, or maintenance under appropriate confidentiality and security obligations. We may disclose information where required by law, a court, or an authorised public body.
6. International processing
Some service providers may process data outside India. Where this occurs, we apply contractual and security safeguards and comply with any transfer restriction notified by the Government of India.
7. Retention and deletion
We keep data only for as long as reasonably necessary for the recruitment decision, related queries, audit and security needs, and applicable legal requirements. Unverified OTPs expire after 10 minutes. When retention is no longer justified, records are deleted, anonymised, or securely restricted. A valid erasure request will be honoured unless law or a continuing legal claim requires retention.
8. Security
The portal uses role-based access, password hashing, limited login attempts, short-lived verification codes, encrypted stored SMTP credentials, secure session controls, audit logs, and transport encryption where deployed correctly. No system can guarantee absolute security; suspected personal-data breaches are investigated and notified as required by law.
9. Cookies and tracking
We use essential cookies or similar storage for authentication, security, CSRF protection, and interface preferences. The portal does not currently use advertising cookies. If optional analytics or tracking is introduced, the notice and consent controls will be updated before use.
10. Your rights and grievance process
You may ask for a summary of your personal data and processing, correction or completion, erasure where applicable, withdrawal of consent, or grievance redressal. You may also nominate another person to exercise rights in the event of death or incapacity. Contact admission@rathinam.in or +91 844 844 8909. We may verify your identity before acting and aim to resolve grievances within the period required by law. You may approach the Data Protection Board of India after exhausting this process.
11. Governing framework
This notice is designed around the Digital Personal Data Protection Act, 2023, the Digital Personal Data Protection Rules, 2025, and applicable provisions of the Information Technology Act, 2000. If law changes, the current legal requirement prevails and this notice will be updated.
12. Changes
Material changes will be posted here with a revised effective date and, where required, presented for fresh consent. We will not quietly expand the purpose of processing beyond what this notice describes.
